Job Overview:

The City of Laurel, MD is seeking an experienced and highly skilled Advanced Administrative Specialist to join their team. This individual will provide exceptional support to the Clerk and members of the Laurel City Council, ensuring seamless operations and effective communication with stakeholders.

About the Role:

This advanced-level administrative position offers a unique opportunity to work in a dynamic environment where collaboration, adaptability, and excellent communication skills are essential. The successful candidate will possess strong organizational abilities, attention to detail, and a customer-centric approach. They will be responsible for providing administrative assistance, preparing reports, maintaining records, and performing various administrative tasks.

Responsibilities:

  • Provide administrative support to councilmembers, including correspondence, email responses, scheduling meetings, and special events.
  • Maintain records and prepare reports related to Office activities.
  • Process Maryland Public Information Act requests and collaborate with City Departments and the City Solicitor on responses and responsive records.
  • Assist with Mayor and City Council meetings, attending periodically as directed by the Clerk and covering meetings in their absence.
  • Distribute agendas, calendar invitations, information packets, and other materials for Mayor and City Council Meetings.
  • Prepare the Council Chambers for in-person meetings.
  • Prepare Council citations and certificates for presentation.
  • Index and distribute approved minutes of Mayor and City Council Meetings.
  • Maintain a resolution/ordinance log of all numbers and titles assigned for legislation.
  • Serve as staff liaison to various committees, attending meetings and preparing agendas and minutes.
  • Attend quarterly meetings of the Maryland Municipal Clerks Association.
  • Compile information and prepare the City Council portion of the Laurel Ledger on a monthly basis.
  • Receive, process, and distribute incoming mail to the Clerk's and City Council Offices.
  • Assist with the preparation of annual operating budgets and monitor expenditures of the Council, Clerk, and Election Budgets.
  • Prepare and submit payroll for the Office of the Clerk to the City Council.

Requirements:

  • High School diploma or GED from an accredited school, some college preferred.
  • A minimum of 5 years of progressively responsible administrative experience.
  • Ability to operate a computer terminal or Personal Computer, proficient in Microsoft Office Suite/Microsoft 365 applications, and willing to learn other office software and automated procedures.
  • Must be able to pass a drug screening and a criminal background check.

Salary: $55,000 - $65,000 per year, depending on qualifications and experience.
