Project Administrator Job Description

Spectrum Energy is a leading provider of energy engineering services, dedicated to helping clients reduce energy consumption and greenhouse gas emissions. We are seeking a highly organized and detail-oriented Project Administrator to provide executive support to our management and marketing teams.

  • Provide administrative support to management and marketing functions, including coordination with clients, contractors, and utility companies.
  • Manage energy projects from start to finish, including coordination with building owners, contractors, and vendors.
  • Develop and maintain relationships with customers, providing support for both energy engineering and sales teams.
  • Coordinate with utility companies to ensure project status and site inspections for incentive applications.
  • Collect and manage documents for incentive applications, ensuring timely submission and successful outcomes.
  • Monitor project costs and invoices, making adjustments to deliver projects on time and within budget.
  • Manage internal project documentation and ensure all pertinent information is up-to-date and accessible.
  • Coordinate service and technical support during energy modeling and incentive application execution.
  • Develop and maintain project lists and financial documents, ensuring accurate and timely reporting.
  • Perform bookkeeping, proposal, and invoice creation and management tasks.
  • Be flexible and willing to work outside normal working hours as required.

Requirements:

  • Excellent organizational skills, attention to detail, and ability to prioritize multiple projects and tasks.
  • Bachelor's degree and 1-2 years of relevant experience, or an equivalent combination of education and work experience.
  • Positive, professional, and proactive attitude.
  • Excellent interpersonal, written, and verbal communication skills.
  • Demonstrated ability to manage and maintain internal processes and problem-solve effectively.
  • Windows/Microsoft Office product knowledge required.
  • Familiarity with general or mechanical contracting or HVAC equipment sales preferred.
