About This Role

The Administrative Assistant will provide critical support to our front office operations, ensuring seamless day-to-day functions and providing administrative assistance as needed.

Key Responsibilities
  • Assist with office operations and provide administrative support
  • Manage Accounts Receivable and Accounts Payable duties
  • Process employee timesheets and expenses, generating payroll reports for weekly distribution
  • Handle incoming calls, emails, and company correspondence, coordinating communications within the office
  • Field routine and non-routine questions, responding to requests for information
  • Assist customers with immediate needs and support employees with tasks related to customer requests
  • Organize and prioritize large volumes of information and calls
  • Act as a liaison with other departments and outside agencies, including high-level staff
  • Responsible for high-level reporting and distribution
  • Establish, develop, maintain, and update records and filing systems, retrieving information as necessary
  • Sort and distribute mail for the department, determining priority levels
  • Assist and provide backup support to other office support employees as needed
Requirements
  • Accounts Payable/Receivable and Payroll experience is a plus
  • Demonstrated ability to work independently and follow through on assignments and meet deadlines
  • Ability to plan, prioritize, and organize workloads and achieve goals
  • High energy level with the ability to work in a fast-paced, ambiguous environment
  • Ability to maintain a high level of confidentiality
  • Ability to work well collaboratively within a team environment
  • Experience utilizing office equipment, such as computers, phones, photocopiers, and fax machines
  • Excellent organizational and planning skills, with attention to detail
  • Strong verbal and written communication skills
  • Strong technical capacity
  • Proficient in Microsoft Office, Excel
