We are seeking a highly skilled and detail-oriented Executive Assistant to join our team at Savvy HR Partner. This is a remote position, and we welcome applicants from Houston, Texas, and beyond.
About the Role
The Executive Assistant will play a critical role in ensuring accurate and timely calendaring for our attorneys, managing emails, and providing exceptional support to our team.
Key Responsibilities
- Administrative Support: Manage the executive's calendar, schedule meetings, coordinate appointments, screen and prioritize emails, phone calls, and other communications, handle routine correspondence independently, prepare and edit documents, presentations, reports, and correspondence as needed, maintain and organize confidential files and records.
- Meeting and Event Coordination: Plan and coordinate meetings, including preparing agendas, taking meeting minutes, tracking action items, arrange travel itineraries, accommodations, and transportation for the executive and team members, organize company events, conferences, and offsite meetings.
- Project Management: Assist in managing key projects by tracking progress, deadlines, and deliverables, conduct research and compile information to support decision-making and strategic planning, serve as a liaison between the executive and internal teams.
- Relationship Management: Build and maintain strong relationships with internal and external stakeholders, represent the executive professionally in all interactions.
- Operational Support: Monitor and manage office supplies, equipment, and expenses related to the executive's operations, handle expense reporting, reimbursement submissions, and budget tracking for the executive, ensure the executive's workspace is organized and well-maintained.
Requirements
We are looking for an experienced Executive Assistant with a passion for supporting the legal profession. The ideal candidate should have:
- An Associate's degree or paralegal certificate from an accredited program.
- A minimum of 2 years of experience as an Executive Assistant or in a related role within a law firm or legal environment.
- Proficiency in legal terminology, procedures, and software applications (e.g., Microsoft Office Suite, legal databases).
- Strong written and verbal communication skills.
- Exceptional attention to detail and organizational abilities.
- Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
- Familiarity with legal research techniques and resources.
- Commitment to maintaining confidentiality and adhering to ethical standards.
