Job Description:

As an Administrative Support Specialist at Children's Medical Center, you will play a vital role in providing exceptional patient care and ensuring a smooth workflow. This full-time position is perfect for individuals who are passionate about delivering excellent customer service and working collaboratively as part of a dynamic team.

Key Responsibilities:
  • Answer and route phone calls to the appropriate staff members in a timely and professional manner
  • Schedule appointments efficiently while considering the needs of patients and families
  • Document reasons for appointments accurately and effectively
  • Acknowledge patients and families promptly and courteously upon arrival for their appointment
  • Check in or arrive patients in a timely manner, ensuring they feel valued and respected
  • Update provider information and preferred PCP details as needed
  • Preregister new patients and update demographics and insurance information for established patients
  • Verify insurance and financial responsibility to ensure seamless billing processes
  • Update preferred pharmacy details for accurate medication management
  • Scan patient forms and records into our Electronic Health Record (EHR) system for secure storage and retrieval
  • Document special language and communication needs, such as interpreter requirements
  • Makes arrangements for interpreters in advance of appointments when necessary
  • Reviews and acts on Care Coordination alerts and pop-up messages within EHR
  • Instructs patients and families on form completion to ensure accuracy and efficiency
  • Collections copays and prior balances, and makes payment arrangements as needed
  • Assists families with straightforward billing questions and concerns
  • Confirms appointments for the next day to prevent missed visits
  • Prepares daily reports and deposit slips for accurate accounting
  • Monitors the reception area and keeps patients informed of any delays or wait times
  • Tidies up the reception area throughout the day to maintain a clean and welcoming environment
  • Adheres to safety, infection control, environmental, and patient confidentiality policies
  • Processes medical record releases requested by parents or families
  • Prints chart documentation requested by parents or families
  • Processes return-to-school forms and other paperwork as required
Essential Qualifications:
  • High school diploma or equivalent required
  • 1-2 years of experience in the medical or customer service field preferred
