Job Summary

We are seeking a highly skilled and customer-focused Concierge to join our team at True Connection Communities - Verena at the Reserve. As a Concierge, you will serve as an ambassador for our community, providing exceptional customer service and hospitality to our residents and visitors.

Key Responsibilities:

  • Provide a positive first impression to all visitors and residents.
  • Answer and screen incoming telephone calls, routing calls and taking messages according to policies and procedures.
  • Greet all visitors in a friendly and professional manner.
  • Follow hospitality touchpoints and procedures according to company standards.
  • Ensure the lobby area is scented and has music playing during shift.
  • Screen and require visitors to sign in at the hospitality desk.
  • Notify residents of visitors and instruct residents' visitors according to residents' instructions.
  • Receive and process incoming mail.
  • Accept all outgoing mail and packages.
  • Perform various clerical duties, including typing, copying, ordering, and maintaining inventory of office supplies.
  • Maintain and update the Emergency Phone Number Log and keep it at the hospitality desk.
  • Maintain and update emergency contact information for each resident and keep it at the front desk.
  • Assist managers with various clerical responsibilities.
  • Take RSVPs for special functions as necessary.
  • Oversee sign-up for scheduled transportation.
  • Be knowledgeable about community services and rates, providing families and prospective residents with tours and community information.
  • Keep the hospitality captain desk and lobby area neat and organized.
  • Hand out maintenance request forms and pass them on to the appropriate managers.
  • Immediately advise the supervisor and Executive Director of any noted changes in physical and mental health of residents.
  • Work collaboratively with the supervisor to create a positive, hospitality-oriented atmosphere for all associates and residents.
  • Provide exceptional customer service to residents and visitors, maintaining professionalism and composure in challenging situations.
  • Recognize and foster a sales-oriented culture by participating in and contributing to the sales and marketing efforts of the community.
  • Attend and actively participate in company-hosted webinars, meetings, and other trainings as scheduled.

Requirements:

  • High school diploma or GED required.
  • Prior experience working with the public.
  • Strong interpersonal relations skills and ability to relate to a variety of people and personalities.
  • Strong organizational, oral, and written communication skills.
  • Comfortable with a multi-line telephone system, answering, taking messages, and transferring calls.
  • Word-processing and clerical skills, with familiarity with Microsoft Office products.
  • Self-motivated, with considerable initiative and judgment to work with minimal supervision.
  • Ability to communicate effectively with all levels of management, other associates, and the general public.
  • Ability to work flexible hours and participate in holiday activities.

Working Conditions:

This position works in a professional office environment, using standard office equipment such as computers, phones, printers, scanners, photocopiers, and filing cabinets. The Concierge may be exposed to communicable diseases and infection, latex, blood-borne pathogens, various chemical, infectious, or biological hazards, and pets.
