Key Responsibilities

The Senior Information Release Coordinator oversees the front office personnel and manages workflow efficiently. This role entails handling requests for the release of information, which includes patient walk-in inquiries, phone requests, continuity of care requests, mail inquiries, search warrants, subpoenas, and in-house provider requests promptly. Collaboration with the Release of Information vendor is essential to ensure that all requests are addressed in a timely manner. Additionally, this position is responsible for patient portal enrollment and addressing related inquiries. The Senior Information Release Coordinator also serves as the administrator for the Death and Birth Registry and plays a vital role in the training, education, and evaluation of team members.

Core Functions:

Manages requests via mail, phone, fax, email, and walk-ins for the release of information from medical records for use by insurance providers, legal representatives, healthcare professionals, and governmental bodies. Collaborates with the Release of Information vendor to ensure the prompt processing of all medical record requests. Coordinates with the Copy Service Representative to maintain workflow continuity. Reviews each request for proper authorization, ensuring it is signed by the patient; obtains inpatient authorization from nursing units as necessary, adhering to regulations governing information release and organizational policies. Utilizes discretion to prevent unauthorized disclosure of confidential information. Adheres to established procedures for copying specific portions of medical records; verifies signatures and communicates with requestors regarding any discrepancies or clarifications. Maintains a thorough understanding of HIPAA regulatory guidelines concerning information release and consults with the HIPAA Compliance Officer as needed. Possesses knowledge of electronic medical record (EMR) systems. Ensures patient confidentiality is upheld at all times in accordance with hospital policies. Processes discharges according to predetermined procedures to ensure coverage for responding to patient care chart requests.

Qualifications

Education and Experience:
A High School Diploma/GED is required, along with 3 to 5 years of experience in Release of Information and/or HIPAA compliance.

Licenses and Certifications:
HIPAA Privacy Certification is preferred within 6 months of hire. AHIMA Micro Credential in Release of Information is also preferred within 6 months of hire.
