Job Summary

We are seeking a highly organized and detail-oriented Orthopedic Practice Assistant to join our team at Brigham and Women's Hospital. The successful candidate will provide administrative support to our orthopedic clinics, ensuring seamless patient care and efficient clinic operations.

Key Responsibilities
  • Orthopedic Tasks:
    • Manage and monitor EPIC work queues to ensure timely completion of tasks.
    • Schedule and coordinate EMG appointments.
    • Cancel x-ray orders within 48-72 hours.
    • Process orthopedic mail pick-up and distribution every 2 days.
    • Upload CDs in PowerFoil.
    • Provide technical support for Powershare, including assistance with obtaining outside images.
    • Upload surgical consent forms within 24 hours.
    • Manage eFax process, including moving faxes to respective provider folders and printing/scanning/emailing documents.
    • Manage EPIC-Ortho in-basket messages and forward using crosswalk coverage lists.
    • Assign decision aids for total joint scheduled visits.
    • Manage the Ortho Bump List process, including monitoring bumped BWFH Ortho clinics and rescheduling patients.
  • Bone Health Program (BHP) Responsibilities:
    • Schedule and reschedule patients for BHP providers.
    • Listen to BHP voicemail messages and reach out to patients.
    • Make calls to patients and reschedule as needed.
    • Spot check provider schedules for unfilled slots and review future clinics to offer patients sooner appointments.
    • Review BHP in-basket messages and attend to tasks.
    • Review emails and attend to tasks.
    • Enter orders and book bone density testing for BHP patients.
    • Monitor the BHP Work Queue [WQ26231] and reach out to patients for appointment scheduling and/or defer for later times.
  • Front Desk Responsibilities:
    • Support front desk operations with check-in/check-out responsibilities during staffing deficits or high patient volumes.
    • Collect copayments and self-pay payments due at check-in.
    • Assist with entering and scheduling radiology orders during staffing deficits.
    • Perform other duties assigned to support departmental business needs.
Qualifications
  • High School Diploma or GED required.
  • Excellent organizational skills to cross-cover both orthopedic and BHP tasks.
  • Ability to time manage and prioritize tasks effectively.
  • Attention to detail with cross-checking provider clinic schedules.
  • Exceptional professional customer service skills.
