Job Summary

As a member of the project management team in the Facilities Planning, Design and Construction Department, the Team Lead reports to the Executive Director of Planning, Design & Construction.

Key Responsibilities
  • Manage a project management team who is managing capital improvement projects, annual laboratory renovations, and office renewal projects within the Caltech complex.
  • Lead client engagement and communication strategies for a specified set of divisions and departments on campus.
  • Deliver projects on budget, on schedule, and in alignment with client and Institute leadership's goals.
  • Train, team build, conflict resolve, and mentor team members.
  • Manage Project Coordinators, Associate Project Managers, Project Managers, and/or Senior Project Managers as assigned.
Essential Job Duties
  • Train and mentor team members to ensure they have the necessary skills and knowledge to deliver projects successfully.
  • Build and maintain strong relationships with clients, stakeholders, and team members to ensure effective communication and collaboration.
  • Develop and implement project management best practices to ensure projects are delivered on time, within budget, and to the required quality standards.
  • Manage project workflows, including project planning, execution, and close-out.
  • Conduct comprehensive research on project needs and advise the team and customers on complex project plans.
  • Manage the oversight of design and construction of multiple projects, including preparing budgets, schedules, and status reports.
  • Develop and negotiate construction contracts, manage the bidding process, review contract language, and make team selections.
  • Manage the close-out of projects, including reviewing invoices, change orders, commissioning, and documentation.
Requirements
  • Strong project management skills, including experience with project planning, execution, and close-out.
  • Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with clients, stakeholders, and team members.
  • Ability to work in a fast-paced environment and prioritize multiple tasks and projects.
  • Strong analytical and problem-solving skills, with the ability to think critically and make sound decisions.
  • Experience with construction contracts, bidding processes, and project close-out.
