Responsibilities:
Office Management:
- Manage day-to-day administrative tasks for the General Affairs department, ensuring seamless operations and high employee satisfaction.
- Act as the primary point of contact for internal customer service inquiries, resolving issues promptly and maintaining a positive work environment.
- Oversee office supply inventories, negotiate with vendors for competitive prices, and develop efficient systems for supply storage and distribution.
- Collaborate with Facilities Manager and Safety Manager to maintain a safe and healthy work environment.
- Supervise the Office Coordinator, assigning tasks, providing guidance, and evaluating performance to foster a collaborative and efficient work environment.
- Assist with budgeting, financial reporting, and billing processes, analyzing operational data to identify areas for improvement.
- Execute ad hoc projects and tasks assigned by Senior Manager, supporting projects and tasks requested by the headquarters office in Japan.
Business Insurance:
- Coordinate insurance-related activities, including claim submissions, progress tracking, and closing files, ensuring seamless operations.
- Liaise with insurance agents and brokers to maintain effective relationships.
- Provide support for insurance renewals and coverage assessments, managing certificates of insurance issued to external customers and partners.
Proposal Processing:
- Manage the processing of proposals, reviewing, organizing, and presenting them to relevant stakeholders, ensuring timely submission.
- Collaborate with teams to ensure proposal submission deadlines are met.
- Provide proposal training to new hires, responding to proposal-related questions in a timely manner.
Legal, Compliance, Regulations and Policies:
- Assist with legal document review, ensuring accuracy and compliance with relevant laws and regulations.
- Manage the contract management system, keeping records up to date and making recommendations for renewal or termination.
- Ensure the office complies with relevant laws, regulations, and industry standards, updating policies and procedures as needed.
- Support the implementation of policies and procedures, taking a supportive role in the business continuity team.
Expatriate Support:
- Provide expatriate integration support, including visa processing, housing, and transportation arrangements, to ensure a smooth transition.
Translation and Interpretation:
- Interpret and/or translate spoken statements from English to Japanese and vice versa in various business settings.
- Translate and/or edit Japanese written correspondence and verbal communications into English and vice versa.
Qualifications:
- Ability to read, interpret, and write business documents in English and Japanese.
- Strong organization, communication, and analytical skills.
- Ability to manage multiple tasks efficiently.
- A bachelor's degree in Business Administration, Management, or a related field with a minimum of 5 years of experience in office management or related roles.
