Job Overview

This role is an exciting opportunity to join our team as an Administrative Assistant. You will be responsible for providing administrative support to our facilities manager and other team members. This includes greeting visitors, managing office equipment and supplies, handling mail and shipments, and preparing workstations for new hires.

Duties and Responsibilities

  • Welcome and direct visitors, including new hires, to appropriate office locations.
  • Manage office equipment and supplies, including maintaining copiers, restocking kitchen and stationery items, and tracking inventory.
  • Handle mail and shipments, including preparing FedEx labels, processing incoming/outgoing mail, and maintaining shipment records.
  • Prepare workstations for new hires and assist with supply procurement, including event-specific items.
  • Deliver proposals, transport equipment, and relocate company vehicles between office locations or project sites as needed.
  • Organize and archive invoices and documentation, both on-site and at the storage facility.
  • Coordinate vehicle inspections, ensure up-to-date registration/insurance documents, and surrender inactive license plates at the DMV.
  • Assist with planning and logistics for company events, such as the annual holiday party.
  • Maintain accurate attendance records and provide general administrative support as required.

Requirements

  • Must have a valid driver's license with a good driving track record.
  • High School or higher education.
  • Detail orientated and organized.
  • Excellent time management skills.
  • Strong communication skills.

Estimated Salary: $45,000 - $60,000 per year
