Job Description

Parish Financial Manager Job Summary

We are seeking a highly skilled Parish Financial Manager to join our team at St. Mary Catholic Church. The successful candidate will be responsible for maintaining clear financial accountability using QuickBooks Desktop.

Key Responsibilities:

  • Processes and posts accounting transactions, including invoices, payroll, revenues, and expenses.
  • Uses QuickBooks to conduct research and generate financial reports.
  • Maintains physical accounting files and ensures accurate record-keeping.

Essential Duties and Responsibilities:

  • Payroll:
    • Reviews employees' time sheets, confers with employees for errors, and obtains written corrections.
    • Prepares and submits payroll to Paylocity.
    • Generates and prints reports.
    • Uses a pro-forma worksheet to generate JE and records it in QuickBooks.
  • Accounts Payable:
    • Prepares checks to pay invoices 15 days before they become due.
    • Sends checks to the Pastor for signature.
    • Ensures all signed checks are issued in Single Point.
  • Accounting:
    • Checks email daily and prepares account posting summary reports for Weekly Mass Collection.
    • Submits reports to the Pastor.
    • Reviews Weekly Mass Collection reports submitted by counters.
    • Records deposits in QuickBooks timely.
    • Remits special collections to the Diocese in a timely manner.
    • Generates, summarizes, and journalizes monthly On-Line deposits from Parish Soft.
    • Makes fund transfers related to On-Line Giving.
    • Reconciles all bank accounts monthly.
    • Ensures the following transactions are recorded monthly:
      • Fund on Deposit (FOD) interest
      • Health Insurance
      • Parish Assessment
      • Sabbatical Fund
      • Service Corporation Assessment
    • Updates employee files as needed.
    • Attends Parish Finance Council meetings and generates financial reports.
    • Attends Diocese administrators meetings.
    • Maintains and updates all accounting and employee files.
    • Submits reports required by federal and state agencies.
    • Prepares and submits reports required by the Diocese.

Requirements:

  • Minimum of 2 years of bookkeeping/accounting experience.
  • Competency in MS Office and QuickBooks.
  • Hands-on experience with spreadsheets and financial reports.
  • Strong communication and organizational skills.
  • Ability to work independently and collaboratively with others.
  • Ability to perform filing and record-keeping tasks.
  • Associate degree or relevant certification in accounting or a related field.

Physical Demands:

The employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the parish/school facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds.
