About This Role

We are seeking a highly skilled and organized administrative assistant to provide support to our Head of School. As a key member of our team, you will be responsible for ensuring the smooth operation of our school office and providing exceptional customer service to students, parents, and faculty.

You will have the opportunity to develop your skills and take on additional responsibilities as the role evolves. Our ideal candidate will be a quick learner, able to prioritize tasks effectively, and maintain confidentiality when dealing with sensitive information.

Key Responsibilities:
  • Maintaining a consistent office presence to meet the needs of students, faculty, and parents
  • Answering school phone calls and directing them to the appropriate person or department
  • Scheduling meetings independently and decisively on behalf of the Head of School
  • Fostering professional and courteous relationships with faculty, staff, administration, parents, students, and vendors
  • Maintaining organized and updated files for the main school office
  • DATABASE and record keeping as required
  • Coordinating teacher substitution
  • Maintaining office and classroom supplies and acting as ordering coordinator
  • Assisting the Director of Admission with coordinating open house events
  • Supporting the Director of Admission with communications, website updates, etc.
  • Supporting the Director of Admission with all admission functions and processes
  • Processing billing and accounts receivable
Requirements / Qualifications:
  • Excellent communication skills
  • Highly organized
  • Holds self to a high standard of professionalism in conversations with students, parents, fellow staff, and external visitors
  • Problem-solving disposition
  • Bachelor's degree from a competitive college or university
  • Administrative experience, preferably supporting an educational and/or executive administrator, is helpful but will consider entry-level applicants as well
  • Must be computer literate
  • Knowledge of principles and practices of basic office management and organization
  • Ability to work well either alone or as part of a team
Estimated Salary: $60,000 - $70,000 per year
