Job Description

As an Administrative Officer with the Benioff Center for Microbiome Medicine (BCMM), you will play a critical role in managing the daily operations of this cutting-edge research center. Reporting to the Assistant Director of Operations, you will work closely with other BCMM staff, GI personnel, and leadership to ensure seamless execution of administrative tasks.

Your key responsibilities will include:

  • Human Resources Management: Oversee all personnel recruitment, onboarding, offboarding, and performance reviews. Ensure timely submission of HR-related forms and documents.
  • Office and Equipment Management: Supervise daily office functions, including supply management, equipment maintenance, and research facility coordination.
  • Executive Support: Provide calendar scheduling, meeting coordination, reimbursement, and travel arrangements for senior management.
  • Website and Communication: Maintain the center's website and manage email correspondence.
  • Event Coordination: Lead planning and execution of seminars, symposia, and retreats, including logistics, marketing, registration, and vendor payments.
  • Team Collaboration: Work with BCMM, GI, and UCSF staff to ensure efficient workflow and support cross-functional activities.
  • Operational Effectiveness: Assess and recommend improvements to policies and procedures. Utilize project management tools to manage tasks, timelines, and communication.
Required Skills and Qualifications

To excel in this role, you must possess:

  • A bachelor's degree in a related field and three or more years of relevant experience or equivalent training.
  • Thorough knowledge of university rules and regulations, processes, protocols, and procedures for budgeting, accounting, and fund management, as well as personnel management.
  • Strong interpersonal skills, including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling abilities.
  • Excellent collaboration and problem-solving skills, with the ability to work independently and think critically.
  • Exceptional organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
  • Advanced computer skills, including proficiency in Microsoft Office, project management software, and university-specific tools.
