Job Summary

The Medical Office Administrator will play a vital role in assisting patients and visitors with daily tasks, ensuring seamless front desk operations, and supporting the team in achieving office goals. If you have excellent communication skills, are proficient in EMR systems, and possess strong organizational abilities, we encourage you to apply.

Responsibilities
  • Welcome patients and visitors, both in person and over the phone, responding to inquiries and providing assistance as needed.
  • Schedule appointments efficiently, optimizing patient satisfaction, provider time, and treatment room utilization.
  • Verify insurance coverage, ensure accurate and timely data entry, and maintain patient records.
  • Notify providers of patient arrivals, review service delivery against schedules, and remind providers of any delays.
  • Maintain accurate patient accounts by collecting and updating personal and financial information.
  • Process payments, record charges, control credit extended to patients, and expedite third-party claims.
  • Protect patient confidentiality by maintaining the security of personal and financial information.
  • Maintain operational efficiency by adhering to policies and procedures, reporting necessary changes, and contributing to the team's success.
Requirements
  • Ability to thrive in a fast-paced environment with multiple tasks and responsibilities.
  • Excellent multitasking, flexibility, and time management skills.
  • Professional telephone etiquette and exceptional customer service skills.
  • Superior organizational, attention to detail, and computer skills (EMR systems, Microsoft Excel, Microsoft Outlook).
  • Familiarity with a physical therapy environment, medical office, or hospitality background with a strong emphasis on customer service.
  • Bilingual Spanish is highly desirable but not required.
