Support the School-Based Program as an Administrative Assistant

We are seeking a highly organized and detail-oriented individual to provide essential multi-faceted support to our school-based program, particularly through office/administrative duties and family engagement.

About the Role
  • Administrative Support: Assist with daily administrative tasks, including maintaining weekly attendance rosters, keeping accurate daily headcounts, and overseeing sign-out for early pick-ups.
  • Communication: Answer office phones, make phone calls to parents as needed, use translation services, and creatively communicate with families across language barriers.
  • Data Management: Maintain online attendance databases, run regular data reports to check for accuracy, manage enrollment processes, and create rosters in Excel.
  • Organization: Keep highly organized paper/electronic files and detailed spreadsheets, clean and organize office space, and ensure student files are up to date throughout the year.
Requirements
  • Education: High School Diploma or Equivalency Diploma (BA, a plus)
  • Experience: 2 years of after-school program/office experience or currently in college
  • Skills: Good verbal and writing skills, highly organized, able to manage time efficiently, detail-oriented, dependable, and proactive
  • Languages: Bilingual: English/Spanish OR English/Mandarin required (Cantonese, a plus)

This is a full-time position requiring 35 hours per week, Monday to Friday from 10am to 6pm, with occasional evening and weekend hours.
