Job Summary

The Museum of Science is seeking an experienced Executive Assistant to provide high-level administrative support to the Chief Marketing Officer and the Marketing and Communications Division. The successful candidate will be responsible for coordinating meetings, managing projects, and ensuring the smooth operation of the division.

Key Responsibilities
  • Assist the Chief Marketing Officer with meeting coordination, including scheduling, note-taking, and minute preparation.
  • Manage the division's calendar, ensuring timely and efficient scheduling of meetings and appointments.
  • Coordinate the response to emails and correspondence, ensuring prompt and professional communication.
  • Process invoices and manage financial reporting, ensuring accurate and timely submissions.
  • Support the division's project management, including coordinating logistics, managing budgets, and tracking progress.
  • Provide administrative support to the divisional leadership team, including scheduling, note-taking, and minute preparation.
  • Oversee the day-to-day general office management, including personnel support, procurement, facilities, and administrative staffing coordination.
Requirements
  • Post-high school course work, technical degree, associate's degree, business or vocational certificate.
  • 5 or more years of office management experience.
  • Demonstrated ability to adapt to changing priorities.
  • Demonstrated oral and written communication skills.
  • Demonstrated professionalism and discretion.
  • Demonstrated ability to self-monitor and be proactive.
  • Demonstrated experience handling confidential material.
  • Demonstrated experience using Microsoft Office Suite.
  • Demonstrated experience managing multiple calendars.
