Job Overview

We are seeking a highly organized and detail-oriented Professional Support Assistant to join our team in the Graduate Programs department at St. John Fisher University.

About the Role

This is a full-time, 12-month position responsible for providing administrative support to graduate program leadership and faculty. The successful candidate will have excellent communication skills, be able to multitask, and possess strong technical skills in Microsoft Office Suite and data management.

Responsibilities
  • Provide exceptional customer service to students, staff, and visitors to the Dean's Suite, ensuring a welcoming and supportive environment.
  • Support WSON leadership in collaboration with other administrative assistants.
  • Liaise with key offices on campus, including Graduate Admissions, Registrar, Facilities, Academic Affairs, Library, and Bookstore.
  • Assist program chairs/directors with semester program scheduling, registration issues, and special room reservations.
  • C coordinate admissions process in graduate programs, manage application files, set up interviews, and maintain spreadsheets as the primary contact person for applicants and Transfer and Graduate Admissions.
  • Organize special events, including mailing and receiving acknowledgements, arranging parking and catering as needed.
  • Create and maintain accurate student databases (Banner, Typhon), records (alumni and current), and email distribution lists.
  • Maintain accurate databases of students and required data for accreditation/state and grant requirements.
  • Liaise with clinical site coordinators and internship coordinators to ensure graduate programs comply with special requirements of students prior to beginning their practicum/internship.
  • Support accreditation efforts, compiling and maintaining materials for required documentation/reports per accreditation guidelines.
  • Provide administrative support duties, answering phones, referring prospective students, updating calendars, making appointments, and supporting graduate faculty.
  • Prepare accurate minutes of Graduate Program Committee meetings and Advisory Board annual meetings.
Requirements
  • A.A.S. degree in business, office management, or similar degree and/or 2+ years of relevant office experience.
  • Experience working in a team environment, being a team player, and having flexibility in the workplace.
  • Strong technical skills in Microsoft Office Suite, document imaging, and data management, including Banner (data warehouse).
  • Ability to multitask, prioritize tasks, and work under pressure.
  • Excellent communication and interpersonal skills.

The work environment is well-lighted, well-ventilated, and pleasant, with access to equipment such as fax machines, printers, copiers, and telephones.

Salary and Benefits

The estimated salary for this role is $17.25-$20.30 per hour, with benefits including health insurance, retirement plan, and paid time off.
