Job Overview

Hearts and Hands of Care is seeking an administrative professional to support the daily operations of our office. This role involves providing administrative assistance to ensure the smooth functioning of our organization.

Key Responsibilities:

  • Manage incoming communications, including phone calls and emails, and route them to the appropriate team members.
  • Coordinate scheduling for internal and external stakeholders, ensuring seamless meetings and appointments.
  • Organize and maintain office resources, including files and supplies, to ensure easy access and efficiency.
  • Liaise with visitors and provide exceptional customer service.
  • Communicate policies and procedures to employees, ensuring they are aware of new processes and guidelines.
  • Support executive-level operations, including booking travel, submitting expense reports, and sending communications on behalf of senior staff.

Requirements:

  • High school diploma or equivalent
  • 1-2 years of experience in an administrative role, preferably as an administrative assistant, secretary, or receptionist
  • Strong organizational, communication, and time-management skills
  • Ability to work in a fast-paced environment with a positive attitude
  • Resourcefulness, creativity, and problem-solving skills
  • Familiarity with office equipment and software, including Microsoft Office
