Job Summary

We are seeking a highly motivated and customer-focused Loaner Car Agent to join our team at Sterling Automotive Group. As a Loaner Car Agent, you will play a critical role in ensuring a seamless rental experience for customers whose vehicles are undergoing maintenance or repair in our Service Department.

Your primary responsibility will be to guide customers through the entire loaner car process, addressing any concerns or issues that may arise. You will also be responsible for ensuring customers provide all required documentation and thoroughly understand our policies and agreements.

Key Responsibilities:

  • Provide exceptional customer service and support to customers renting loaner cars
  • Ensure accurate and timely completion of rental agreements and documentation
  • Communicate effectively with customers and Service Advisors to resolve any issues or concerns
  • Prepare and facilitate the rental agreement process, including data entry and documentation
  • Answer and direct calls, utilizing a multi-line phone system, and assist with scheduling service appointments
  • Initiate and work insurance claims for damages on rental vehicles and collect customer deductibles
  • Maintain accurate records and data in required spreadsheets and programs
  • Follow up with customers via phone and text to confirm services, appointments, and rental details
  • Conduct vehicle walk-arounds and demonstrate basic vehicle functions to customers
  • Complete vehicle check-ins and check-outs, ensuring vehicles are detailed and ready for the next customer
  • Collaborate with the Service Department to ensure timely fuel and maintenance needs for rental vehicles
  • Collect warranty payouts for vehicles, adhering to proper protocol
  • Maintain a professional demeanor and appearance at all times

Requirements:

  • Minimum 2+ years of customer service experience
  • Proactive team player with a willingness to learn and adapt to organizational processes
  • Strong communication and time management skills
  • Ability to work in a fast-paced environment and prioritize tasks effectively
  • Valid driver's license with a clean driving record and a minimum of 21 years of age or 3+ years of driving experience
  • High school diploma or equivalent required
