Job Summary

We are seeking a highly organized and detail-oriented Ambulatory Practice Assistant II to join our team at Brigham & Women's Hospital (BWH). As a key member of our ambulatory practice, you will play a critical role in ensuring the smooth operation of our clinical services.

Key Responsibilities
  • Process patients arriving for appointments, verifying appointments and updating online information as necessary.
  • Answer incoming telephone calls in a timely manner, adhering to organizational and departmental service standards.
  • Manage all calls, either by working with the customer or referring the call to the appropriate party.
  • Maintain provider clinical appointment schedules, adjusting them as needed and scheduling patients for appointments within the Specialty Clinic.
  • Coordinate patient intake forms and ensure medical records are in order for daily appointment schedules.
  • Perform check-out functions, including scheduling follow-up visits and completing prior authorizations as required.
Requirements
  • High school diploma or GED required; post-high school education preferred.
  • Minimum one year of applicable work experience required.
  • Additional training in office systems preferred.
Skills and Abilities
  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Ability to use phone system, answer routine questions, and give routine information.
  • Ability to interpret information, answer routine questions, and communicate in a professional manner.
  • Ability to manage work processes, sort and alphabetize, and manage multiple tasks effectively.
  • Ability to correspond and communicate with others clearly and effectively in writing.
  • Basic understanding and use of medical terminology.
  • Basic comprehension of insurance types and referral process.
  • Knowledgeable and compliant with all hospital, State, and Federal requirements.
Working Conditions

This position is based in a hospital-based ambulatory practice with normal patient environments where there are some exposures to communicable diseases, unpleasant odors, needles, and blood products.

Works within legal, regulatory, accreditation, and ethical practice standards relevant to the position and as established by BWH/Partners; follows safe practices required for the position; complies with appropriate BWH and Partners policies and procedures; fulfills any training required by BWH and/or Partners, as appropriate; brings potential matters of non-compliance to the attention of the supervisor or other appropriate hospital staff.
