Job Overview

The Document Control Specialist will play a pivotal role in maintaining and ensuring the accuracy of our document control processes. This individual will be responsible for scanning records, verifying their integrity, and preparing them for secure offsite storage. They will also manage document workflows, ensuring compliance with company standards and regulatory requirements.

Key Responsibilities
  • Scanning and Verification: Scan records and verify the accuracy and completeness of scanned documents, ensuring that all information is up-to-date and compliant.
  • Archiving and Storage: Prepare records for offsite storage, including creating accurate document indexes and maintaining record integrity to ensure easy retrieval.
  • Document Workflow Management: Process document workflows, ensuring that priority documents are promptly handled and comply with company templates and regulatory requirements.
  • General Support: Assist with document format issues and perform general word processing tasks to ensure seamless document management.
  • Database and Records Maintenance: Maintain accurate and complete database entries and control binders, performing audits and implementing corrective actions as needed to ensure data integrity.
  • Compliance and Safety: Follow company policies and procedures to resolve routine issues, stay updated on regulatory compliance, and adhere to Environmental, Health, and Safety (EH&S) policies to ensure a safe working environment.
  • Additional Duties: Perform other related duties and assignments as required by management to ensure the success of the team.
Qualifications
  • Experience: Minimum of two years of document control experience in the pharmaceutical or biotech industry, with a strong understanding of document control standards and quality systems.
  • Skills: Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe, with strong organizational, planning, and time management skills to ensure efficient document management.
  • Knowledge: Understanding of Document Control standards, Quality Systems, GMP regulations, and principles to ensure compliance and accuracy.
  • Communication: Effective written and oral communication skills to ensure clear and concise communication with team members and stakeholders.
  • Attributes: Detail-oriented, proactive, and capable of working effectively within teams and under changing priorities to ensure the success of the team.
