Job Overview

This role is responsible for providing administrative support to project teams, focusing on contract administration, communication, and coordination. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work effectively in a team environment.

Key Responsibilities
  • Assist project teams with contract administration, including bid compilation, contract letting, and billing.
  • Facilitate job-related communications with subcontractors, vendors, insurers, and clients.
  • Operate office equipment and assist with job-related bookkeeping.
  • Perform relief and/or back-up duties and responsibilities for the receptionist.
  • Develop and present a plan for professional growth and development, including enhancement of existing skills or development of new skills.
  • Assist project managers with timely contract administration, including forwarding signed contracts, preparation of statutory notices, and compilation and distribution of job packets.
  • Process employment applications and assist in other employment activities.
  • Process invoices for routing, coding, approval, and payment in accounting software.
  • Set up and maintain job logs, job files, including job coding, filing, and scanning.
  • Operate and oversee the proper maintenance and functioning of relevant office machines.
  • Assume other responsibilities as assigned by the supervising PM/Superintendent.
Requirements
  • Associates degree from a 2-year college or university.
  • 1-3 years of related experience and/or training.
  • OR equivalent combination of education and experience.
Work Environment

This role requires working in a moderately noisy environment, often in an office setting, and occasionally on an active construction site. The ideal candidate will be able to sit for extended periods, use hands to finger, handle, or feel, and talk and hear frequently.
