Job Summary

We are seeking an Administrative Assistant to provide support to our managers and employees, assist in daily office needs, and manage our company's general administrative activities. The ideal candidate will be responsible for meeting arrangements, preparing reports, maintaining appropriate filing systems, and performing other tasks as assigned by management.

Responsibilities
  • Provide exceptional customer service by answering phone calls, responding to emails, and addressing unit owners' inquiries or walk-ins.
  • Process purchases and leases applications efficiently.
  • Check in clubhouse guests (if applicable) and vendors who visit the property.
  • Update Owners/Tenants Directory or any information as needed.
  • Accurately input information using a computer system.
  • Perform tasks assigned by management, requiring excellent verbal, comprehension, listening, and problem-solving skills.
  • Maintain a clean and organized workspace and perform general task assistance.
  • Distribute mail, courier requests, and returns.
  • Be available to work holidays and weekends if needed.
Requirements
  • Flexible hours with weekend availability required.
  • Hours: Thursday 8:30 AM - 5:00 PM, Friday 11:00 AM - 7:30 PM, Saturday 8:30 AM - 8:00 PM, Sunday 8:30 AM - 8:00 PM.
  • Salary depends on experience, starting at $17.00 hourly.
Skills and Qualifications
  • High school diploma/GED equivalent required.
  • Excellent interpersonal abilities.
  • Experience within Property Management, Condo/HOA Law, or Real Estate industries preferred.
  • Knowledge of Architectural Modification processing procedures.
  • Strong Administrative Support Experience.
  • Familiarity with the hospitality industry is a plus.
  • Willingness to maintain confidentiality.
  • Time management skills.
Bilingual is desirable
