Job Summary: We are seeking a highly organized and detail-oriented Administrative Clerk/Receptionist to join our team at MSCCN. This role will be responsible for performing a variety of clerical and administrative duties, including data entry, filing, and reception work.

Key Responsibilities:

  • Perform daily data entry and maintenance of logs and files
  • Answer phones, take messages, and direct calls to the appropriate staff, and provide basic information as requested
  • Greet and direct clients, ensuring they are comfortable while waiting
  • Review client documents to ensure they have all necessary documentation required for a successful interaction
  • Confirm that clients meet program eligibility guidelines to receive services
  • Ensure adherence to MSCCN policies, procedures, and standards
  • Accurately and effectively represent MSCCN and its mission, acting in the organization's best interest and enhancing its image in the public eye
  • Provide administrative support to meet the needs of the Agency and Community Services Department
  • Participate in agency functions, including department meetings, retreats, and events
  • Perform other duties/projects as assigned

Requirements:

  • High School Diploma or equivalent required
  • A minimum of one (1) year in an administrative capacity with administrative data entry and reception experience, preferably with a non-profit agency
  • Strong interpersonal and communication (written and oral) skills and the ability to represent MSCCN to the public and clients in a compassionate and respectful manner
  • Must possess exceptional organizational skills with great attention to detail
  • Able to maintain sensitive and confidential information
  • Able to operate basic office equipment (fax, copier, postage meter, multi-line phone systems)
  • Ability to undertake and manage multiple tasks and projects in a fast-paced environment with minimal supervision
  • Pleasant and engaging personality
  • Sensitivity to, and ability to work with low-income, diverse populations
  • Excellent computer skills (Word, Excel, Access, PowerPoint, Outlook, etc.)
  • Must be flexible and able to work weekends and evenings as may be required

Language Skills:

  • Ability to speak multiple languages, especially Spanish, desired
  • Ability to proofread and edit documents, and ensure that all products are professional
