Job Title: Project Coordinator

We are seeking a highly organized and proactive individual to fill the role of Project Coordinator in our construction industry team.

Job Summary:

The successful candidate will play a vital role in supporting project managers, maintaining customer accounts, and ensuring efficient office operations.

Key Responsibilities:

  • Assist project managers by creating and maintaining job folders for new and ongoing projects.
  • Provide support in scheduling and coordinating meetings, preparing agendas, and taking meeting notes as needed.

Customer Account Management:

  • Maintain up-to-date customer accounts and records.
  • Assist with accounts receivable by tracking payments, generating invoices, and following up on outstanding balances.
  • Ensure accurate entry and maintenance of customer information in the company's database.

Document Management:

  • Print, copy, and distribute project documents as needed.
  • Maintain organized digital and physical filing systems for project documentation and administrative records.
  • Ensure that all relevant documents are properly archived and easily accessible to team members.

Office Administration:

  • Handle general office duties including answering phones, managing correspondence, and greeting visitors.
  • Order and maintain office supplies to ensure smooth day-to-day operations.
  • Support other team members with various administrative tasks as required.

Qualifications:

  • Previous administrative experience, preferably within the construction industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with project management software is a plus.
  • Strong organizational skills with a detail-oriented approach.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
