About the Role

CareGuide Advocates is seeking a detail-oriented and highly organized Advocacy Operations Assistant to support daily operations in the advocacy department. The ideal candidate will be responsible for accurately entering and maintaining data, handling administrative tasks, and ensuring data integrity.

This role requires strong technical and organizational skills, as well as excellent communication and customer service skills. The successful candidate will work closely with the Senior Manager to complete a variety of tasks and will be responsible for maintaining confidentiality and adhering to all HIPAA regulations.

Key Responsibilities
  • Accurately input and update data in our company's databases from various sources.
  • Review and verify the accuracy of data before entry to ensure it aligns with company policies.
  • Organize and maintain digital and paper files for easy retrieval and reference.
  • Monitor incoming data for any inconsistencies or errors and report these to the department manager.
  • Handle incoming and outgoing communications, including phone calls, emails, and paper correspondence.
  • Maintain confidentiality and handle sensitive data with discretion.
  • Follow established data entry procedures and adhere to quality control measures.
  • Perform general administrative tasks, including filing, scanning, and organizing documents.
  • Assist with other clerical duties as needed.
Requirements
  • High school diploma or equivalent required.
  • 2-3 years experience in a customer service or administrative support role preferred.
  • Excellent communication and customer service skills, both written and verbal.
  • 1-2 years experience working with multi-line phone systems.
  • Strong technical and organizational skills.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Office and ability to learn new software programs.
  • Ability to maintain confidentiality and adhere to all HIPAA regulations.
Benefits

This position is eligible for our full benefit package, including health, dental, vision, and 401K. CareGuide Advocates values its employees and offers a generous benefits package and a starting salary range of $45,000-$50,000 annually. This is a hybrid role and will require 12 days in office at our Dallas office.
