Job Summary

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at Corps Team. As an Executive Support Specialist, you will provide high-level administrative and operational support to our executive team, ensuring the smooth operation of our business.

Key Responsibilities
  • Calendar Management: Coordinate and manage the executive's calendar, including scheduling meetings, appointments, conferences, and travel arrangements.
  • Communication: Serve as a liaison between the executive and internal colleagues, clients, and stakeholders. Handle confidential and sensitive information with discretion and professionalism.
  • Information Management: Organize and maintain confidential files, documents, and records for the company. Retrieve and compile information as needed.
  • Travel Coordination: Arrange all aspects of travel, including flights, accommodations, transportation, itineraries, and off-site meeting space. Ensure efficient travel plans that align with the executive's schedule and preferences.
  • Support: Assist in the execution of projects and special assignments. Conduct research and compile data to support decision making.
  • Financial Tasks: Assist with expense reporting and documentation. Collaborate with the accounting department to ensure accurate and timely expense reconciliation.
  • Recruiting: Schedule candidate interviews.
  • Event Management: Plan, organize, and manage a range of internal and external meetings, from client meetings and conferences to corporate and investor functions and networking events.
  • Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality.
  • Facility Management: Oversee the day-to-day appearance of the office space, ensuring it is clean and well organized.
  • Marketing Support: Assist with marketing efforts, including managing marketing materials and supporting marketing campaigns.
  • CRM & CMS Management: Learn and manage the CRM system and website content management system. Ensure accurate and up-to-date information in the CRM and assist with website updates and content management.
Requirements
  • Bachelor's degree preferred and equivalent work experience as an executive assistant.
  • Financial services industry experience is highly preferred.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills. Ability to work independently, prioritize tasks, and meet deadlines with the flexibility to adapt to changing priorities and schedules.
  • Attention to detail and accuracy.
  • Self-motivated to proactively identify challenges and propose solutions.
  • Willingness to learn and expand responsibilities as opportunities are presented.
  • Proficiency in MS Office: Outlook, Word, Excel, PowerPoint (Intermediate).
  • Familiarity with Zoom.
  • Experience with CRM systems or willingness to learn new CRM.
  • Familiarity with website content management systems (CMS) is a plus.

Compensation

Base Salary: $70,000 - $75,000. Final determination of salary will be based on an evaluation of experience, education, budget, etc.
