About the Role:


We are seeking an experienced Senior Administrative Assistant to provide senior-level administrative support to our esteemed Dean of the Facundo Valdez School of Social Work and other key stakeholders.



Key Responsibilities:



  • Provide exceptional administrative support to the Dean, ensuring seamless operations and high-quality customer service.
  • Coordinate and oversee various senior-level administrative tasks, including but not limited to budgeting, fiscal management, and staff coordination.
  • Collaborate with internal teams, including administrative assistants, librarians, and student support specialists, to achieve shared goals.
  • Monitor and reconcile financial administration, including budgets, funding, grants, contracts, payroll, employment, travel, and purchasing.
  • Assist with fiscal planning, identifying alternative sources of funding and developing strategies to secure them.
  • Support recruitment efforts, including job postings, application logging, interview logistics, and search documentation.
  • Coordinate onboarding processes for new hires, ensuring timely completion and compliance with HR protocols.
  • Maintain employee contracts for non-tenure track faculty, staff, and students, preparing and organizing necessary documents.
  • Develop and manage a master calendar for due dates and timelines, ensuring smooth execution of reports, contracts, and course schedules.
  • Provide administrative support to external constituencies, handling phone communications, greeting visitors, and addressing inquiries as needed.
  • Schedule appointments, coordinate travel arrangements, and oversee daily office activities.
  • Lead and guide the work of other administrative assistants, student employees, and interns, providing guidance and support when required.
  • Oversee day-to-day management of supplies, equipment, and facilities, including maintenance, inventory management, logistics, security, and related activities.

In this rewarding role, you will enjoy a competitive salary range of $50,000 - $65,000 per year, depending on experience.
