Job Summary: We are seeking a highly organized and self-motivated Virtual Assistant to provide comprehensive administrative support to various departments at Orionyx Engineering LTD.

About the Role: As a Virtual Assistant, you will be responsible for managing daily administrative tasks, preparing and formatting documents, and maintaining project documentation. You will also assist project managers with planning and tracking project timelines, deliverables, and resources.

Key Responsibilities:

  1. Administrative Support: Manage daily administrative tasks, including scheduling meetings, organizing calendars, and maintaining files.
  2. Project Coordination: Assist project managers with planning and tracking project timelines, deliverables, and resources.
  3. Communication Management: Serve as a point of contact for internal and external communications, managing emails and inquiries efficiently.
  4. Data Management: Organize and maintain databases, ensuring that data is accurate, current, and properly categorized.
  5. Client Support: Assist in managing client relationships by responding to inquiries and providing necessary information.
  6. Meeting Coordination: Schedule and coordinate meetings, including video conferences, ensuring all participants have the necessary information.
  7. Financial Support: Assist with basic bookkeeping tasks, including tracking expenses, processing invoices, and preparing financial reports.
  8. Office Management: Order office supplies and maintain inventory, ensuring that all necessary materials are available.
  9. Technology Support: Utilize various software and tools to improve workflows, including project management software, cloud storage, and collaboration platforms.
  10. Continuous Improvement: Identify areas for process improvement and suggest enhancements to increase efficiency.

Qualifications:

  • Education: High school diploma required; associates or bachelors degree in business administration, management, or a related field preferred.
  • Experience: Proven experience as a virtual assistant or in a similar administrative role; experience in an engineering or technical environment is a plus.
  • Skills:
    • Strong organizational and multitasking abilities, with keen attention to detail.
    • Excellent written and verbal communication skills.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management and collaboration tools (e.g., Trello, Asana, Slack).
    • Basic knowledge of bookkeeping and financial management is preferred.
  • Work Ethic: Self-motivated and able to work independently with minimal supervision; strong time management skills are essential.

Work Environment: This is a remote position that requires a reliable internet connection and a dedicated workspace. You will interact with team members and clients primarily through digital communication platforms.
