About Our Client: Cesna is a leading retailer with a strong presence in the market.
Salary: $60,000 - $80,000 per year, depending on experience.
Job Description:
We are seeking a highly skilled administrative professional to provide support to our corporate team. The ideal candidate will have a minimum of one year of experience in a fast-paced environment and possess excellent time management skills and the ability to prioritize work.
The successful candidate will be responsible for providing administrative and general clerical support, including but not limited to:
- Document Preparation: Preparing and editing documents, email, notes, correspondence, spreadsheets, and reports as directed, ensuring accuracy and meeting all established deadlines.
- Reception Duties: Acting as primary receptionist for the office, responding to phone calls, receiving visitors, dispatching calls, and visitors to the proper parties.
- Meeting Coordination: Preparing, coordinating, and organizing meetings as required, including room reservations, notification to members, and distribution of meeting materials and minutes.
- Administrative Support: Handling administrative requests and queries from senior managers, conducting research, compiling data, and preparing summary reports as necessary.
Responsibilities:
In addition to the above responsibilities, the successful candidate will also be responsible for:
- Serve as Office Manager: Responsible for office supplies, secure maintenance of office equipment, establish and maintain filing system, sort and direct mail, and maintain an accurate calendar.
- Customer Service: Providing high-quality customer service using professionalism, confidentiality, and good judgment.
- File Management: Establish and maintain files; both physical and electronic.
- Travel Arrangements: Prepare travel arrangements as required and process monthly expense reports.
- Key Control System: Manage the key control system, including maintaining the key log system and parking access.
- Office Supplies Inventory: Track and maintain an inventory of office supplies and order as needed.
- General Support: Provide general support to visitors and assist executives as required.
Requirements:
To perform this job successfully, the ideal candidate must have:
- Education: A minimum of two years of college or business school or any combination of education, training, and experience that provides the knowledge, skills, and abilities required for this position.
- Experience: A minimum of one year of administrative experience in a fast-paced environment.
- Skills and Competencies:
- Bilingual: English (required), Korean (preferred)
- Microsoft Office: Experienced with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Drive and Initiative: Shows drive and initiative, pursuing high standards and maintaining a high level of productivity, focusing on meaningful results, and achieving them.
- Reliable Transportation: Possess and maintain reliable transportation, a valid CA driver's license, and state-mandated auto insurance.
