The Bear Creek School is seeking an experienced Academic Administrator to oversee student records, scheduling, and academic testing. This is a key role in our school community that requires strong organizational skills, attention to detail, and the ability to work with students, teachers, and staff.

As an Academic Administrator, you will be responsible for maintaining accurate and up-to-date student records, creating and managing schedules for all divisions, and implementing our JanTerm Program. You will also be responsible for managing student information systems, including Veracross and standardized testing processes.

Key responsibilities include:

  • Create schedules that support the mission and core values of the school
  • Maintain all student records and student information in an orderly, secure, and accessible manner
  • Plan, organize, and implement the school's JanTerm Program

Essential duties include:

Student Records Management

* Process, print, and distribute quarterly progress reports and semester report cards

* Post semester grades to transcripts

* Update credits earned each semester

* Audit format of report cards and transcripts, calculation of grades, course setup, pass/fail grades, etc.

* Confirm transcript accuracy

* Track, prepare, and/or send copies of records and transcripts when requested by parents, students, other schools, etc.

* Prepare end of year Honor Rolls and awards

* Official academic information gatekeeper (catalog process, etc.)

Scheduling Management

* Prepare a master schedule and class schedules each semester for teachers and students K-12

* Update schedules to reflect changes, modifications, rescheduling, etc.

* Work with students on course changes, adding courses, and/or dropping courses

* Collect new student information (transcripts, test scores, etc.), transfer credits for new students, document waivers/exceptions

Academic Testing and Analysis

* Manage student academic testing and assemble and analyze data to assess curriculum and instruction and recommend programmatic enhancements

Information Systems Management

* Provide support and direction to faculty and staff in using Information Systems

This position requires a Bachelor's degree and experience working with complex scheduling in an upper or high school setting. The ideal candidate will have proficiency in technology skills, including Excel, Word, Outlook, and the ability to work with a complex scheduling program as well as learning to work with the school's integrated data-based software. A current CPR/AED/First Aid Certification is also required.
