About the Position

This role offers an exciting opportunity to join the team at VersAbility Resources, Inc., as an Administrative Coordinator for our Early Intervention Program. The position is based in Hampton, VA.

Job Summary:

We are seeking a highly organized and detail-oriented individual to provide administrative support to our Children Services Program staff. The successful candidate will have excellent communication skills, both written and verbal, and be proficient in Microsoft Office software.

Responsibilities:

  • Coordinate initial intake meetings with families referred to our Early Intervention program, ensuring smooth transitions and effective communication.
  • Maintain accurate records, including child charts and documentation, while adhering to compliance requirements.
  • Prepare EPIC Welcome books for parents, providing a warm welcome to our program.
  • Process department billing monthly, ensuring timely and accurate payments.
  • Maintain cleanliness of the EPIC intake room, creating a comfortable environment for clients.
  • Provide scheduling assistance to EPIC staff, facilitating meetings and events at VersAbility.
  • Mail out birthday cards to children served in the program, spreading joy and celebrating milestones.
  • Respond to requests for documentation from outside vendors, such as the Social Security Administration or legal entities.
  • Maintain open communication with Infant & Toddler Connection of Hampton/Newport News, ensuring adherence to TRAC IT platform processes and procedures.

Requirements:

  • High school diploma; advanced degree in business or a related field preferred.
  • 3+ years' experience working with individuals with disabilities; knowledge of office procedures and compliance requirements essential.
  • Proficiency in MS Office suite and other software products required.
  • Strong prioritization, problem-solving, and decision-making skills, with attention to detail and ability to work independently.
  • Discretion when handling confidential information and adaptability in a fast-paced environment.
