Job Summary

Shelby County is seeking a highly skilled Administrative Services Specialist II to join our team in the Division of Public Works. The successful candidate will provide administrative support to the Division Director, Finance Manager, and Policies & Procedures Officer, ensuring the smooth operation of the division.

Key Responsibilities

Provides high-level administrative support to senior staff members, including scheduling, coordinating, and communicating with internal and external stakeholders.
Plans, schedules, and coordinates the activities of the Public Works Division Office, ensuring efficient use of resources and meeting deadlines.
Greets internal and external customers, answering questions and providing information on departmental policies, procedures, and business functions.
Conducts program audits to evaluate financial performance and policy compliance, working closely with the Finance Manager and Policies & Procedures Officer.
Services the division with financial and purchasing functions, including requisitioning goods and services, accounts payable, annual budgets, policy compliance, resolutions, contracts, budget transfers, PCB adjustments, and cost center changes.
Assists with human resources functions, including payroll, OJI claims, County Personnel Policies, Employee Information Change forms, and Memorandums of Understanding with IBEW Union.
Prepares and compiles standard reports, utilizing data from various sources to provide insights and recommendations.
Maintains records of organizational changes throughout the division, ensuring accurate and up-to-date information.

Requirements

Three (3) years' experience performing administrative functions in accounting, procurement, grants management, and/or auditing, or closely related field;
Bachelor's degree from an accredited college or university in accounting, finance, business administration, or related field;
Equivalent combination of related education and/or experience;
Ability to handle pressure in a fast-paced environment;
Excellent written and verbal communication skills, effective interpersonal skills, and multi-tasking ability;
Proficient knowledge in Microsoft Office (Excel, Access, Word, Outlook, PowerPoint) and in database software systems;
Thorough knowledge and skills necessary to analyze data, facts, identify problems, make conclusions, and recommend or take appropriate action;
Must be detail-oriented with strong organizational, analytical, and problem-solving skills.
