Job Title: Private Client Practice Assistant

We are seeking a highly organized and detail-oriented Private Client Practice Assistant to join our team at Stoel Rives LLP. As a key member of our Benefits, Tax and Private Client (BTP) practice group, you will provide legal and administrative support to our private client attorneys.

Key Responsibilities:
  • Prepare and revise estate planning documents, including powers of attorney, certificates of trust, healthcare directives, wills, and trusts.
  • Assist with the preparation of nonprofit organization formation documents and correspondence.
  • Manage timekeeping and billing, including entering time entries, reviewing and distributing proformas and client invoices, and resolving billing problems.
  • Provide exceptional client service, including communicating with clients and outside counsel via phone and email, and scheduling client meetings.
  • Work collaboratively with the practice assistant team, delegating and coordinating projects, and assisting with technology and firm procedure questions.
  • Maintain electronic and physical files, retrieve documents from the document management system, and transmit voluminous electronic documents via secure file sharing websites.
Requirements:
  • High school diploma or GED equivalent required.
  • At least 3 years of experience providing legal administrative support, preferably in wealth management, estate planning, and/or non-profit law.
  • Certificate or college degree in administrative assistant, legal assistant/secretary, or paralegal program, or related field in lieu of one year of work experience.
  • Basic understanding of accounting preferred.

  • A competitive salary range of $54,000 - $90,000, with base compensation varying based on skills and experience.
