We have an exciting opportunity for an Executive Office Coordinator to join our Data, Power, and Control Team in Reno, NV. This role will provide exceptional administrative support to the Executive team and oversee the receptionist and their duties.

About the Role:

This is a dynamic and fast-paced position that requires strong organizational and planning skills, as well as the ability to handle sensitive information with discretion. The ideal candidate will be able to multitask, prioritize tasks efficiently, and maintain accuracy and attention to detail.

Main Responsibilities:

  • Provide clerical and administrative support to the Executive team, including drafting correspondence, scheduling appointments, and preparing reports.
  • Oversight of the receptionist and their duties, including manning the front entry during working hours.
  • Prepare meeting materials, attend meetings, and provide documentation/meeting minutes.
  • Screen phone calls and requests, respond to inquiries on behalf of the Executive team.
  • Coordinate local company functions, including summer picnics and holiday parties.
  • Verify quantities needed, contact vendors, place orders, coordinate food delivery, and set up designated meeting rooms or areas.
  • Complete special projects as assigned.

Qualifications:

To be successful in this role, you will need a Bachelor's degree from a four-year college or university with an emphasis in Business Management, or equivalent combination of education and experience. A minimum of 3 years of experience in administration is required, with previous experience providing executive administrative support preferred.

Required Skills and Qualifications:

  • Effective oral and written communication skills with the ability to provide information across multiple groups.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Strong organizational and planning skills and the ability to work independently.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Advanced computer proficiency with knowledge of Microsoft Office products (Word/Excel/Outlook/PPT).

Salary Range:

The estimated salary range for this position is $65,000 - $85,000 per year, based on location and experience.
