Job Overview

Fawkes IDM is in search of a dedicated Billing Specialist to enhance our financial team. This role is crucial for managing the complete billing cycle, from the initial preparation of prebills to the issuance of final invoices.

Key Responsibilities
  • Billing Management: Oversee the transition from prebill to final bill, ensuring that partners receive and respond to accurate prebills promptly. Finalize and submit invoices or eBills in a format that meets client specifications, and confirm that all final bills are dispatched to clients and recorded in the accounting system. Generate closing bills as required.
  • eBilling Collaboration: Work closely with the eBilling team to establish new client setups according to eBilling standards. Submit invoices electronically, ensuring successful transmission and addressing any issues that arise. Maintain proactive communication regarding the acceptance of eBills.
  • Rate Verification: Confirm billing rates with the Rates team, and review and implement outside counsel guidelines, including monitoring fee caps, tiered discounts, and matter budgets. Communicate effectively with management regarding any discounts, write-downs, or write-offs.
  • Inquiry Response: Address inquiries related to accruals, audits, and payments efficiently.
  • Reporting Maintenance: Keep updated prebill status reports and monitor billing figures daily.
  • Client Trust Management: Ensure proper management of client trust accounts, accurate allocation of payments, and resolution of unapplied funds throughout the duration of the assigned portfolio. Keep partners informed about available, unapplied, and trust funds, applying them as necessary.
Qualifications
  • Bachelor's degree in Accounting, Finance, or a related field is preferred.
  • Experience in a law firm or professional services environment is advantageous.
  • Proficiency in Microsoft Office, particularly Excel, is essential.
  • Familiarity with Aderant Expert or Elite Enterprise (3E) is a plus.
  • Strong ability to deliver client service through effective teamwork.
  • Excellent communication skills, with the ability to present information clearly and concisely.
  • Proactive approach to enhancing the value of the role.
  • Willingness to work additional hours as needed.
