About the Opportunity

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Residential Services team at Happiness House CP Rochester. As a key member of our administrative staff, you will provide critical support to our Vice President and Director of Residential Services, ensuring the smooth operation of our programs and services.

Key Responsibilities
  • Provide high-level secretarial support to the department vice president and director, including scheduling meetings, organizing travel, and processing documents.
  • Manage departmental records, update files, and maintain confidentiality of sensitive information.
  • Process invoices, check requests, purchase orders, and payroll information as directed.
  • Support the Training Coordinator in reviewing Residential employee training records.
  • Order office supplies and maintain the copier in the IFSS wing.
  • Provide coverage to the agency reception desk as needed.
  • Ensure internal and external mail is coordinated and sent to the appropriate individuals.
  • Take, type, and distribute meeting minutes as assigned.
Requirements
  • High school diploma or GED; an Associate's degree is preferred.
  • Previous successful experience in administrative/clerical work is preferred.
  • Knowledge of office management, office machines, phone systems, and proficiency in typing.
  • Proficient in the use of Microsoft Office software (Word, Excel, PowerPoint).
  • Ability to comply with professional standards of conduct, including a pleasant speaking voice and courteous manner.
  • Demonstrated ability to effectively communicate orally and in writing.
  • Demonstrated excellent time management skills and organization skills.
