Job Summary

We are seeking a Program Coordinator to support the efficient operation of our department. This role involves providing administrative assistance to faculty, organizing events, representing key departments to students and across the campus, ensuring courses are listed and running smoothly each semester, and assisting with social media communications in collaboration with program directors.

Key Responsibilities:

  • This is a residential position, requiring regular presence on our South Royalton campus.
  • You will participate in and promote program philosophy and objectives, including collaboration in program visioning and reflection.
  • You will conduct administrative support for program directors, including compiling materials, conducting internet searches, managing spreadsheets, and scheduling events.
  • You will provide administrative support for executive functions, including minute-taking, exam administration, mail, phone, maintaining office supplies, sending emails as needed to diverse audiences, surveys/polls, tracking program data, and other requests (building maintenance, IT requests, etc.) as needed, photocopying/scanning, managing email lists for incoming students and faculty.
  • You will support Visiting and Adjunct (Residential and Online) faculty, including logistics, stipends, and coordinating housing for Summer Series faculty.
  • You will develop relationships and collaborate with colleagues across institutional departments, including marketing and communications, admissions, the registrar, and career services among others.
  • You will help create a campus presence by tabling events on campus and in the local community, sharing information about key departments.
  • You will act as coordinating support for online and in-person events and workshops, organizing speakers, planning agendas, arranging technology or physical space, and marketing and advertising events.
  • You will manage all mailing lists, updating student email lists, partner organization lists, alumni email lists, and faculty email lists.
  • You will interface with current and prospective students and collaborate in student services and activities.
  • You will maintain basic financial records, process payment vouchers, and manage day-to-day budget processing.
  • You will promote the work of key departments with announcements, fliers, newsletters, and social media posts.
  • You will coordinate with the marketing and communications team to update and revise key department webpages.
  • You will ensure relevant standards, processes, and regulations are upheld, including supporting substantive language access and demonstrating cross-cultural competence.
  • Other duties as assigned.

Requirements

  • A degree is desirable but not required; 3-5 years of professional administrative experience could serve as a substitute for a degree.
  • Demonstrated experience working with diverse groups of people.
  • Excellent organizational and calendar management skills.
  • Ability to maintain recordkeeping systems and procedures.
  • Excellent written and oral communication skills.
  • Program planning and implementation skills.
  • Ability to gather data and compile information.
  • Skills in organizing resources and establishing priorities.
  • Ability to organize, prioritize, and schedule work assignments.
  • Proficiency with basic budgeting software and basic knowledge of budgets and cost estimating and processing.
  • Collaborative, creative, and strong interpersonal skills.
  • Solid computer skills, preferably in a PC, Windows-based operating environment; experience with Microsoft Office (365) applications, virtual work environments, and social media applications.
  • Familiarity with social media and event promotion and planning.

Estimated Salary: $48,500 - $53,000 per year
