Job Opportunity

Eaton Sales & Service is seeking a highly skilled Administrative Assistant to join our team in Phoenix, AZ.

The ideal candidate will be a detail-oriented and organized individual with excellent communication skills, able to provide administrative support to ensure efficient office operations.

Key Responsibilities:

  • Provide administrative support to ensure seamless office operations.
  • Maintain accurate and up-to-date physical and digital filing systems.
  • Respond to phone calls, direct callers to appropriate personnel, schedule appointments, and assist clients and visitors.
  • Manage calendars for senior staff and draft and edit letters, reports, and other documents.
  • Input and update information in databases and spreadsheets.
  • Prepare meeting agendas and utilize word processing and presentation software to create and edit documents.
  • Operate and maintain office equipment, including printers, copiers, and fax machines.
  • Work with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
  • Collaborate with other administrative staff and support colleagues as needed.
  • Maintain confidentiality and security while working with sensitive information.
  • Meet deadlines and adapt to changing priorities.
  • Present a positive and professional image for the organization.

Requirements:

  • Digital literacy and research skills, including the ability to analyze information reliability.
  • Familiarity with standard office platforms, such as Microsoft Office and QuickBooks.
  • Data management and entry skills, including the ability to maintain and improve filing systems.
  • Accurate record keeping.
  • Strong written communication skills.
  • Time management, multitasking, and flexibility.
  • Strong organizational skills.
  • Accuracy and attention to detail.
  • Expense coding.
  • Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette.
  • Ability to work well under pressure and navigate multiple deadlines.
  • Proactive approach to problem-solving and process improvement.
  • Ability to work well independently and in collaboration with others.

Job Type: Full-Time

Pay: Starting at $45,000

Schedule:

  • Monday to Friday
