Job Title: Accounting Specialist

We are seeking a skilled Accounting Specialist to provide financial, administrative, and clerical services in all areas of accounting, including receivables, collections, and payables.

The ideal candidate will have a strong understanding of basic accounting principles, fair credit practices, and collection regulations. They will be responsible for ensuring accurate and efficient processing and monitoring of incoming payments, securing revenue by verifying and posting receipts, and establishing effective communication with the Sales team, Client Services team, warehouse operations, and management to resolve customer, accounting, and vendor-related issues.

The Accounting Specialist will contribute to Accounts Receivable by processing daily invoices/credits and applying cash receipts in compliance with financial policies and procedures. They will perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables data to journals and ledgers. They will also reconcile discrepancies by checking all possible sources of disagreement, reconstructing probable actions, and recognizing the effect on other accounts; prepare correction documents as required.

The Accounting Specialist will assist with Collections Activities by facilitating payment of invoices due by sending bill reminders and contacting customers. They will collect past due payments on customer accounts within established terms in order to maintain desired level of receivables. They will also contact customers to negotiate alternative payment when full payment cannot be made, investigate deductions taken by customers on payments, advise manager and Client Services on disputes and deductions, and effectively communicate with sales team, customers, Client Services team, and management to update or resolve any issues.

The Accounting Specialist will assist with Accounts Payable by processing vendor invoices and filing disbursements. They will match A/P invoices to purchase orders and file. They will also support Standard Accounting Functions by grouping documents that require knowledge in determining proper classification of accounting codes and expenditure codes, assist with G/L account reconciliation and month-end closing, and other ad hoc projects as assigned.

The ideal candidate will have a Bachelor's Degree in Accounting, Finance, Business Administration, or a related field and 2+ years of work experience as an Accounting Clerk handling accounts receivable, accounts payable, and collections functions. They will have solid understanding of basic accounting principles, fair credit practices, and collection regulations, proven ability to calculate, post, and manage accounting figures and financial records, hands-on experience in using ERP systems/accounting software, proficiency in using Microsoft Word and Outlook, intermediate to advanced Microsoft Excel Skills (must be able to use v-lookup, create pivot tables), and experience using Smartsheets is a plus. They will also have outstanding data entry skills along with a knack for numbers, proficiency in English, and able to communicate well with individuals of all backgrounds, a customer service mindset, effective negotiation skills, and a high degree of accuracy and attention to detail.
