This position is located within the Institute for Corporate and Public Safety (ICPS), a federally funded training entity under the Rural Domestic Preparedness Consortium (RDPC). Under the direction of the ICPS Director, the Training Coordinator will oversee all class requests for a series of courses offered throughout the United States and its territories. This is a full-time provisional, grant-funded position.

Essential Duties and Responsibilities
  • Manage 60 or more delivery requests at any given time, ensuring timely and efficient processing.
  • Support contract trainer activities for each training delivery request, fostering effective working relationships with key stakeholders.
  • Develop and maintain strong relationships with State Approving Authority (SAA) representatives from each state and local point of contact (LPOC).
  • Serve as the primary point of contact for RDPC administration, instructors, SAA, and LPOC stakeholders for each class delivery.
  • Analyze delivery schedules and registration status to determine next steps and schedule work efficiently.
  • Responsible for tracking program documents, maintaining databases, and establishing and maintaining files for the ICPS Director/Principal Investigator.
  • Collect, record, and track data on training sessions to report compliance results, including updates to a national website.
  • Process all DHS course-specific paperwork, including course rosters, pre- and post-tests, course registrations, and course evaluations.
  • Prepare and track operational purchase requisitions, ensuring timely and accurate completion.
  • Make travel arrangements, itineraries, and calendars for upcoming course sessions, adapting to changes as needed.
  • Evaluate, approve, and arrange in-process travel changes during and after business hours.
  • Ensure the timely and accurate printing and shipping of course materials.
  • Scan documents for electronic filing and maintain paper and electronic filing systems, adhering to established protocols.
  • Update and document delivery procedures as needed to sustain the delivery program.
  • Conduct quality assurance checks on delivery activities to ensure excellence and adherence to standards.
Required Skills and Qualifications
  • Proven ability to build lasting relationships with key stakeholders, facilitating effective communication and collaboration.
  • Excellent verbal and written communication skills, demonstrated through clear and professional interactions with others via phone, email, chat, instant messaging, and in-person meetings.
  • A deep understanding of and appreciation for the community college's role in providing access to higher education, as well as the diverse student populations served by NWACC.
  • The ability to work with multiple customer, participant, and partner types, often with divergent needs, and adapt to changing circumstances.
  • Strong project management skills, including planning, organization, and scheduling work to meet deadlines and prioritize key objectives.
  • Basic spreadsheet and web form skills, with the ability to learn and apply new information and technologies in a timely manner.
  • The capacity to track expenses at the delivery level, ensuring accuracy and transparency.
  • Reliable attendance and punctuality, with the ability to maintain regular working hours and adjust to changing schedules as needed.
  • A commitment to ongoing learning and professional development, embracing new knowledge, experiences, and best practices.
  • Flexibility and adaptability in responding to changing priorities and demands, while maintaining a focus on delivering exceptional results.
  • The ability to support online, in-person, and hybrid courses, leveraging various instructional methods to engage learners effectively.

  • The capacity to manage 50-60 projects simultaneously, prioritizing tasks and activities to achieve desired outcomes.
