Job Summary

The Rappahannock Area Community Services Board seeks a highly skilled Administrative Office Coordinator to manage and perform the administrative office functions of a large agency clinic. This role involves supervising subordinate clerical staff and working under regular supervision, guided by well-established agency policies and procedures.

Key Responsibilities
  1. Answer office telephone calls, screen and provide information to callers.
  2. Greet individuals and public visiting the clinic, making initial observations and assessments as needed.
  3. Conduct financial interviews and appeals, assessing client financial responsibility and explaining agency financial policies.
  4. Verify insurance benefits with insurance companies and validate individual-related data from reimbursement and MIS forms.
  5. Manage clinic/professional staff appointment calendars and process admission intake, discharge, and substance abuse data.
  6. Post payments to client accounts, run cash reports, and research and respond to individual complaints and questions regarding billing.
  7. Maintain referral lists, outpatient log books, and inventory of office and first aid supplies.
  8. Schedule, conduct, and document health and safety drills, and pick up, sort, and distribute incoming mail.
  9. Prepare and make bank deposits, compose and type routine office correspondence, and prepare CARS and SALS.
  10. Supervise other office support staff, lead implementation of office performance objectives, and plan and manage administrative and service work flow.
Requirements

The ideal candidate will possess a thorough knowledge of modern office practices, procedures, equipment, and secretarial techniques, as well as knowledge of modern office software applications, electronic medical records, and public and private third-party payor guidelines and requirements.

They will also have the ability to conduct effective interviews, establish rapport with individuals, communicate effectively orally and in writing, and perform administrative and complex clerical tasks requiring accuracy and attention to detail.

A valid Virginia Driver's License is also required.
