Job Description

The Property Portfolio Manager plays a pivotal role in supporting the success of Aterra Real Estate Holdings, LLC’s real estate investment portfolio.

This position is responsible for managing commercial and residential properties, ensuring day-to-day operations run smoothly. Key responsibilities include tenant relations, maintenance and repair, vendor management, janitorial services, and exterior maintenance.

The Commercial Property Manager oversees tenant complaints and service requests, requiring familiarity with lease terms. This includes responding to requests in a timely manner and generating work orders for vendors or maintenance staff as needed.

Key Responsibilities:

  • Provide exceptional customer service to tenants, vendors, and Aterra team members, addressing issues promptly and professionally.
  • Conduct regular property inspections to ensure compliance with leases and proper upkeep, maintaining a high standard of property condition.
  • Maintain accurate property and lease files, including records, correspondence, and file notes.
  • Administer tenant occupancy, creating leases and providing introduction letters outlining emergency contacts, insurance requirements, rent collection procedures, and maintenance request protocols.
  • Become proficient in Yardi property management software, partnering with accounting staff to monitor key dates and reporting within the system.
  • Tour properties with Maintenance Manager to inspect and coordinate follow-up on necessary property maintenance and vendor concerns.
  • Prepare communication documents, such as administrative forms, supporting day-to-day operations and management of the Aterra portfolio.
  • Obtain estimates and bids for repairs at the property, generating and tracking Work Orders, approvals, and distribution to relevant contacts.
  • Prepare default notices for tenant violations per lease agreement terms, potentially requiring external legal support.
  • Summarize monthly portfolio performance information, highlighting operational and financial performance for presentation at Aterra Board Meetings.

Requirements:

  • A Bachelor's Degree from a four-year College or University, combined with two to three years of industry experience, or an equivalent combination of education and experience.
  • Effective prioritization and multi-tasking skills.
  • Strong verbal and written communication abilities, enabling seamless interaction with peers, managers, and clients.
  • Dependability, flexibility, and the ability to maintain confidentiality.

Travel Requirements:

  • Frequent use of company transportation to inspect properties and surrounding neighborhoods (approximately 30% of the time).
  • A valid driver's license and clean driving record are required.
