The Role

This Site Front Desk Assistant position at our Seward Tower East property in Minneapolis, MN involves greeting visitors, answering phones, keeping the building secure, and providing administrative support to property manager and other site staff.

Responsibilities

  • Greet visitors and answer phone calls while maintaining confidentiality of all correspondence or documents.
  • Direct incoming calls and visitors to relevant parties, and take phone messages as needed.
  • Provide administrative support to property manager and other site staff, including updating records and managing keys.
  • Maintain a safe and secure environment by following all policies and procedures.
  • Ensure proper image of the site, staff, and CommonBond Communities by maintaining resident relations.
  • Refer residents to services staff and programs as needed.
  • Provide access to the building for emergency personnel, service deliveries, etc., as needed.
  • Maintain janitorial needs as directed or in response to emergencies.
  • Update visitor sign-in log book and notify management staff of visitor issues.
  • Keep key sign-out log up-to-date.
  • Address resident complaints and reports them to property or assistant property manager.
  • Record resident requests for maintenance work.
  • Assist with resolving resident concerns in a timely manner and report them to property manager.

Requirements

  • A high school diploma or equivalent.
  • Excellent verbal, written, and interpersonal skills.
  • TWO years experience working in a front desk or property monitoring environment.
  • Knowledge of MS Office Suite (Word, Excel) applications.
  • Detail-oriented with ability to manage multiple projects and tasks.
  • Ability to maintain accurate filing and record-keeping systems.
  • Knowledge of safety and security processes and procedures.
  • De-escalation and negotiating techniques.
  • Ability to respond to emergencies in a calm, professional manner.
  • Access to reliable transportation.

Physical Requirements

  • Ability to sit for extended periods.
  • Ability to lift up to 25 pounds unassisted.
  • Use hands repetitively to finger, handle, feel, or operate standard office equipment.
  • Ability to reach above and below shoulders.
  • Ability to bend at waist, kneel, and stoop.
  • Ability to stand for extended periods.
  • Ability to walk and climb stairs indoors and outdoors in daylight and evening hours.

Compensation

We offer a competitive salary of $43,000 per year, along with benefits such as comprehensive health insurance, paid time off, and opportunities for professional growth and development.
