Dental Office Coordinator

The Dental Office Scheduling Coordinator plays a crucial role in maintaining the practice's efficiency by managing the appointment schedule effectively. This individual will be responsible for ensuring the office runs smoothly by booking appointments, coordinating patient needs, and managing the doctor and hygienist schedules.
Key Responsibilities:
- Greet patients and manage patient check-ins and check-outs.
- Coordinate and schedule patient appointments, ensuring optimal use of clinical staff time and resources.
- Handle cancellations, rescheduling, and confirmation of appointments.
- Answer phones and respond to patient inquiries regarding scheduling, insurance, and treatment plans.
- Verify and update patient information, including contact details, insurance, and medical history.
- Coordinate with clinical team members to ensure appointments are scheduled appropriately based on treatment plans.
- Optimize the schedule to minimize downtime while ensuring patient comfort and efficient workflow.
- Maintain and update patient records in the practice management software.
- Provide friendly, professional, and empathetic communication with patients, addressing their needs and concerns.
- Ensure patients are informed of pre-appointment preparation, post-care instructions, and follow-up appointments.
- Work with insurance providers to verify patient benefits and eligibility.
- Support the office manager and assist with other administrative tasks as needed.
Qualifications:
- High school diploma or equivalent (required).
- Previous experience in a dental office or healthcare scheduling role (preferred).
- Familiarity with dental software such as Dentrix, Eaglesoft, or Open Dental (preferred).
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Excellent communication and customer service skills.
- Ability to work collaboratively with team members and provide support where needed.
- Attention to detail, with the ability to manage and maintain accurate patient records.
- Bilingual (Spanish/English) is a plus.
