About the Role:

The Administration Manager plays a pivotal role in supporting the CEO and CFO, driving efficiency and effectiveness in their offices. This position is fully remote, offering flexibility and autonomy.

Duties and Responsibilities:

  • ">
  • Maintain highly confidential corporate and personal information, ensuring the highest level of discretion and confidentiality.">
  • Effectively screen messages from investors, press, solicitors, and other stakeholders, providing timely and professional responses.">
  • Coordinate Board meetings, providing administrative and logistical support to ensure seamless execution.">
  • Arrange domestic and international travel, including air, ground, and hotel arrangements, to support executive mobility.">
  • Manage senior-level calendars, prioritizing tasks and requests to optimize productivity.">
  • Prioritize incoming tasks and requests, demonstrating proactive approach and initiative.">
  • Bolster the CEO's office with a wide range of executive and company administrative duties, showcasing exceptional organizational skills.">
  • Manage state registrations, payroll taxes, sales tax, and franchise tax, ensuring compliance and accuracy.">
  • Oversee company contract files, maintaining up-to-date records and ensuring access control.">
  • Manage American Express accounts for US and Canada, streamlining expense reimbursement processes.">
  • Monitor government reporting requirements, SAM registration, D&B, and other regulatory needs, guaranteeing adherence to standards.">
  • Perform additional duties as required, adapting to changing priorities and demands.">

Requirements and Experience:

  • ">
  • A minimum of 3-5 years of experience supporting a President, CEO, or senior executive in a small to mid-sized corporation, preferably one financed by Venture Capital firms.">
  • Demonstrated ability to plan, set priorities, and manage tasks and deadlines, exhibiting strong time management and organizational skills.">
  • Excellent judgment, discretion, and confidentiality are essential, requiring a high degree of professionalism and integrity.">
  • Strong initiative and ability to work efficiently and independently, navigating complex tasks and situations with ease.">
  • Excellent communication skills (written and oral) and professional demeanor are crucial, fostering effective relationships with executives, colleagues, and external partners.">
  • Proficiency in Microsoft Applications (Outlook, Word, Excel, PowerPoint), Zoom, and Salesforce is expected, with a willingness to learn and adapt to new tools and technologies.">

Estimated Salary Range: $80,000 - $110,000 per annum, based on location and industry standards.
