Your Responsibilities

This role will require you to work independently with minimal supervision, providing daily operational reports that are accurate and timely. You will be responsible for processing all customer orders and distribution accounts, including generating related paperwork and necessary information required for customer work orders. Your attention to detail will ensure that all orders are thoroughly checked for special requests and post-inventory records are maintained accurately. Additionally, you will perform daily data entry for receiving, order allocation, shipping, and inventory management, as well as rate domestic transportation bills.

Special Requests and Orders

You will coordinate special, last-minute shipping requests with our Transportation and Operations Departments, expediting any order as necessary. This may involve tracing orders and notifying customers of any activity concerning their order. Your goal will be to ensure proper invoicing of accounts by verifying computer-generated invoices and maintaining damage records and backorder logs. When handling returned merchandise, you will ensure efficient processing and proper credit is given to the customer. Furthermore, you will input all receipts, putaways, moves, picks, shipments, and cycle counts.

Customer Relationships

You will provide warehouse staff with necessary documents and information needed to complete receiving and shipping orders. Maintaining excellent working relationships with customers is crucial, requiring you to respond to all inquiries and complaints concerning work orders, invoices, shipments, inventory counts, etc., in a courteous and efficient manner. Reporting customer feedback to management, including signs of customer dissatisfaction, is also an essential part of this role. As a liaison between the warehouse and the customer, you will administer accounts and facilitate communication between the office and customer regarding invoicing and credit changes.

Clerical Support

You will provide support with other miscellaneous projects, filing, and research. This may include maintaining current and accurate procedures manuals detailing processing requirements for each account. You will answer phone calls and operate various types of machines and computers necessary to perform duties. Effectively corresponding with customers as required, you will provide support with other miscellaneous projects, filing, and research. Finally, you will receive inventory and oversee all paperwork associated with orders, maintaining corresponding files.

Requirements

We are looking for individuals who possess a high school degree (preferred) and a minimum of 2 years of direct experience in a similar position. Previous experience in inventory control and/or distribution operations is highly desirable. Proficiency with various software applications, including mainframe systems, MS Word, and MS Excel, is preferred. Additionally, typing speed of 30 wpm and 10-key touch are required. The ability to work independently with minimal supervision and display effective communication skills, good hearing, and bi-lingual abilities (a plus) are essential for success in this role. Excellent work habits are mandatory.

Salary Estimate

The estimated salary range for this position is $45,000 - $65,000 per year.
