Administrative Support Specialist

As an Administrative Support Specialist, you will act as a liaison between field operations and office personnel, responsible for performing a variety of essential tasks to facilitate a well-organized office. You will be proficient in all aspects of Office Suite, data entry, paperwork tracking, and reporting.
Key Responsibilities:
- Develop and manage detailed spreadsheets to track and analyze data.
- Collaborate with Foremen, Supervisors, and Superintendents to meet customers' needs and ensure smooth project execution.
- Coordinate and oversee the new work and main tracker to ensure timely completion of projects.
- Verify and process documentation and permits for all work as required by customers.
- Receive and process work orders through customer portals or email.
- Remote ticket entry – 811 One Call training and execution to ensure accurate and timely entry of work orders.
- Assist Foremen with questions regarding ticket numbers, work orders, and other related matters.
- Process daily completed projects for external and internal customer records.
- Schedule sub-contractors based on dispatch to ensure timely completion of projects.
- Process invoices for sub-contractors for passthrough billing.
- Assist with projects and customer commitments to ensure customer satisfaction.
- Assist with new hire candidate documentation to ensure a smooth onboarding process.
- Ensure detailed and accurate production in a timely manner to meet business objectives.
- Perform other tasks as required by local area field and customer.
Requirements:
- High School Diploma required; business degree or certificate with concentrations in business administration preferred.
- Minimum two (2) years of administrative experience, preferably in the construction industry, required.
- Strong written, oral, and communication skills; strong problem solver with a background in customer service.
