Job Summary

We are seeking a highly skilled Inventory Management Specialist to join our Materials Management team at Partners HealthCare.

The successful candidate will be responsible for leading inventory activities, ensuring adequate product levels, and implementing strategies to meet inventory needs.

This role will oversee a team of employees and report to the Materials Management Director within Materials Management.

Key Responsibilities
  1. Supervise day-to-day operations of the MM Inventory Staff
  2. Serve as a liaison between the OR department and Materials Management to rectify any inventory-related issues promptly
  3. Manage the Inventory team to ensure efficient schedules, workflow processes, and best practices are being achieved
  4. Ensure key performance indicators are achieved for Inventory team
  5. Foster and manage vendor relationships to ensure efficient operation of inventory system
  6. Demonstrate competence in the performance of duties related to inventory maintenance

Additional responsibilities include:

  • Overseeing inventory levels, including setting pars, reordering products, assigning locations, creating bar codes, labeling, maintaining inventory sheets and master inventory lists, maintaining specialty carts, forecasting, tissue and implant tracking, performing inventory cycle counts, researching and taking appropriate steps to resolve, and coordinating and adjusting product information as needed
  • Coordinating with the Value Analysis Coordinator for product conversions by tracking outgoing inventory and incoming new products to reduce waste and ensure sufficient replacement
  • Researching and obtaining supply substitutions, coordinating with vendors as needed
  • Monitoring expiration-sensitive products, ensuring stock rotation, disposal, and replacement
  • Facilitating inventory disposal or donation, including Product Recall Process under the direction of the Manager
  • Communicating with buyers and purchasers to determine delivery dates, review backorders, expedite shipping, and borrow from other area hospitals as necessary

Requirements

  • Demonstrate competence for the performance of duties related to process improvement and service quality expectations
  • Utilize technology to examine productivity and take action to maximize operational output
  • Collaborate with OR personnel to form continuous improvement initiatives to correct existing distribution issues and enhance the movement of supplies and equipment throughout the OR
  • Coordinate with Service Coordinators and Surgical Services leadership on abnormal (high-low) inventory and all inventory shortages
  • Act as a resource to Service Coordinators to standardize product and reduce inventory
  • Collaborate with clinical leaders throughout the organization to build efficiencies and develop continuous improvement initiatives to maintain adequate supplies
  • Monitor MMIS (Materials Management Information System) and/or EMR (Electronic Medical Records) reports and provide recommendations to improve inventory management

Leadership and Supervision

  • Demonstrate competence for the performance of duties related to staff supervision
  • Assist with the hiring and on-boarding of all inventory staff
  • Support HR processes, including employee file maintenance and tracking of training requirements
  • Provide or effectively delegate new employee departmental orientation
  • Perform and complete appropriate evaluations and competency assessments by required due dates
  • Assign and manage appropriate staff duties relative to scheduled work responsibilities
  • Responsible for Inventory staff coverage, including excused and unexcused absences
  • Review earned time calendar
  • Assist in identifying and developing educational programs (formal/informal) that assist staff with their functions
  • Document all Inventory staff performance improvement endeavors, following Hospital policy and procedures for any disciplinary actions using Just Culture tools
